Your details, looked after.

What we collect, why we need it, who helps us look after it, and how to ask us about it. In plain English.

Who we are

Bluebird Sessions is a trading name of Motta Consulting Pty Ltd as trustee for the Motta McCarthy Family Trust (ABN 30 548 385 690), an Australian business. We book live solo musicians, each with their own professional sound system, for wedding receptions and some corporate and private events across South East Queensland and Northern NSW.

This policy explains how we handle personal information under the Privacy Act 1988 (Cth) and the Australian Privacy Principles. When we say “we” or “us”, we mean Motta Consulting trading as Bluebird Sessions.

What we collect from couples and event hosts

When you look for a musician and book one, we ask for:

  • your names and email address, and a phone number if you choose to give one
  • your company name, for corporate events
  • your event date, the approximate start and finish times of your reception, and the area it’s in
  • your answers to our short style quiz, and the song you tell us about, if you do
  • the name you type to sign your booking agreement

When you sign, we also record your IP address, your browser details and the time, so there’s a clear record of who agreed to what.

Payments

Card payments are handled by Stripe. We never see or store your full card number. Stripe keeps your card saved securely so the balance can be charged automatically before your event, as your agreement sets out. We can see limited details Stripe gives us, such as the card brand, the last four digits and whether a payment went through.

What we collect from artists

If you perform or work with us, we collect:

  • your name and email address
  • your profile: bio, photo, Spotify and YouTube links, Instagram and home suburb. Your public profile shows your photo, bio, music links and suburb
  • your availability
  • a private calendar feed address, if you choose to connect one. We only read when you’re busy, never what your events are or who they’re with
  • your public liability insurance certificates
  • your payment details: bank account, ABN and whether you’re paid as an individual, a company or a trust, and your super fund if you’re paid as an individual

We may check an ABN against the Australian Business Register.

Why we collect it

To run bookings: matching you with musicians who are free and suit your style, holding your date, taking payments, sending your agreement and confirmation, organising the day, and paying our artists properly. We also use it to meet our legal, tax and insurance obligations, and to keep the site secure.

We email couples only about their booking. We don’t send marketing emails, and we never sell your personal information.

Who we share it with

Your musician gets what they need to play your event: names, date, times, area and your song. Couples see an artist’s public profile, never their contact or payment details.

We also rely on a few trusted service providers to run the site:

  • Supabase, our database (hosted in Sydney)
  • Vercel, which hosts the website
  • Stripe, for card payments
  • Resend, which sends our emails
  • Microsoft 365, for our own inbox
  • Google, Apple or Microsoft, when an artist connects a calendar feed from one of them

Some of these providers may store or process information outside Australia, including in the United States. We choose providers with strong security and privacy practices, and we only share what each one needs to do its job. We may also disclose information where the law requires it.

Cookies and similar things

We use sign-in cookies so artists and our own team can stay signed in to their portals. While you look for a musician, your progress is kept in your browser’s session storage, which clears when you close the tab.

Artist profiles may include embedded Spotify and YouTube players, and those services can set their own cookies under their own privacy policies. We don’t use advertising trackers.

Keeping it safe, and for how long

We keep personal information in secure systems, limit who can see it, and give artists access to their own details only.

We keep booking, payment and agreement records for as long as we need them to run the booking and for as long as tax and other laws require (generally seven years). After that we delete or de-identify them. Enquiries that never become a booking are deleted once they’re no longer useful.

Seeing or correcting your information

You can ask to see the personal information we hold about you, or ask us to correct it, by emailing hey@bluebirdsessions.com.au. We’ll reply within 30 days. If we can’t do what you ask, we’ll tell you why.

Complaints

If you’re unhappy with how we’ve handled your information, please tell us first at hey@bluebirdsessions.com.au and we’ll try to put it right within 30 days. If you’re still not satisfied, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

We’ll update this page if the way we handle information changes, and change the date at the top. Our terms explain how bookings work.
